Terms of Service

1. Who we are & acceptance

Regentflow (regentflow.io) is an Australian-operated service, based in Australia. By creating an account, using our tools, or placing an order in our shop, you agree to these terms. If you don't agree, please don't use the service.

2. The service

Regentflow is a toolkit for businesses. It includes:

• Business tools — invoices & quotes, stocktake with photo/PDF AI scanning, smart rosters, everyday ordering, voice-driven spreadsheets, Create & Print (specials boards, staff notices and safety signs), a cost builder, compare sheets, PDF tools, to-do lists, and a resume builder. Some tools run entirely on your device; others save data to your account in our cloud database.
• A merch shop — custom and ready-made apparel and goods, printed to order and shipped by third-party print partners (see section 8).

Features and limits depend on your plan, and are described on the pricing page.

3. Your account

You're responsible for keeping your account credentials safe and for everything done from your account. Keep your email address current so we can reach you about billing and orders. Shop purchases can also be made as a guest without an account.

4. Plans, credits & billing

All prices are in Australian dollars (AUD). The current plans are:

• Free — the free tools (Invoices & Quotes, To-do lists, Cost Builder, PDF Studio, Business Calculators & Tools, Resume Builder, Customers & business profile) are fully usable, including their downloads, with one paid exception described below. A free account also includes 5 AI credits to try the AI features — enough for one photo/PDF scan or one PDF read. These are a one-off allowance for the life of the account: they are not a monthly quota and they do not refill. Once they are used, AI pauses until you buy a top-up or a plan.
• PDF Studio downloads — every PDF Studio tool is free and unlimited except the PDF editor: downloading a PDF you have edited is a one-off A$1 per download, and that charge applies on every plan, including Pro. The price is shown in the editor before you do the work. Editing, previewing and every other PDF tool cost nothing. The downloaded file has no watermark; the on-screen preview does.
• The Pro tools (Stocktake, Smart Roster, Voice Sheet, Compare Sheets, Everyday Ordering, Create & Print) are not available on the Free plan — not view-only, not partly usable. Opening one shows the plans instead of the tool, however you arrived: a menu, a link someone sent you, or the address bar. A Day Pass or Pro opens all of them.
• Links you send your own team are not gated. Staff filling in their availability or shifts, and helpers ticking off a shared to-do list or counting a shared stocktake, use their link without an account and without paying — the plan applies to the business running the tool, not to the people helping.
• Day Pass — A$5 one-off for 30 AI credits, valid for 24 hours. It does not renew; it simply expires.
• Pro — A$29.99/month or A$299.90/year, with 150 AI credits per month. Pro renews automatically until you cancel.
• Top-ups — A$5 for +50 credits or A$10 for +100 credits, as one-off purchases.
• Currency — every price above is in Australian dollars, the currency these plans are set in. If you are outside Australia we may show and charge the equivalent in your own currency; the exact amount and currency are shown on the payment screen before you pay, and that is what your card is billed.

How credits work:

• An AI action (for example, an AI message or generation) costs 1 credit; a photo/PDF scan costs 5 credits.
• Plan credits don't carry over. A Day Pass's 30 credits last the 24 hours from purchase. Pro's 150 credits reset every month on your own billing anniversary — the day of the month you subscribed, not the 1st — and the yearly plan gets 150 a month on that same day, not 150 for the year.
• Top-up credits are different: they are a one-off purchase, they do not expire, and they are not cleared by a plan reset or by cancelling. Your plan credits are always spent first, so a top-up is only drawn on once the plan allowance for the month is gone.
• When your credits run out, AI features pause until your plan allowance resets or you buy a top-up. Non-AI tools keep working.

Payments are processed by Stripe — Regentflow never sees or stores your card numbers. You can cancel a subscription at any time, and access continues until the end of the period you've paid for. We don't offer refunds for partial periods, but if something went wrong, contact us and we'll make it right. Plan pricing and allowances may change with notice.

5. Acceptable use

• Don't upload content you don't have the right to use.
• Don't attempt to break, abuse, overload, or reverse-engineer the service.
• Don't use Regentflow for illegal activity or to harm others.
• Don't share your account to get around plan limits.

6. AI features & disclaimer

Several tools use AI. When you use them, the relevant content (text, images being scanned, or briefs you write) is sent directly to Google's Gemini API for processing. AI outputs can contain errors — scanned figures, generated text, and suggestions may be wrong or incomplete. Always review AI output before relying on it, especially for business, financial, or tax decisions. Regentflow is a set of tools, not professional advice.

7. Data & privacy

Your data is handled per our Privacy Policy.

8. Shop terms

• Made to order. Shop items are produced on demand by third-party print partners via Printify, with fulfilment locations including Australia, the USA, Canada, and the UK. The shipping origin is shown on each product.
• Estimates are estimates. Production and shipping times shown at checkout are good-faith estimates, not guarantees — carriers and production queues vary.
• Your artwork. If you upload artwork or text for a custom product, you keep ownership of it. You grant Regentflow and our print partners a licence to use it solely to produce and ship your order. You warrant that you have the rights to everything you upload, and that it isn't unlawful, infringing, or hateful. We may decline to print content that breaks these rules.
• Cancellations. Because items are made to order, an order can only be cancelled or changed before it enters production. Once production starts, we generally can't cancel it.
• Damaged or faulty items. If your order arrives damaged, misprinted, or faulty, contact us with photos and we'll arrange a replacement or refund as described in the shop FAQ and as required by the Australian Consumer Law.

9. Australian Consumer Law

Nothing in these terms excludes, restricts, or modifies any consumer guarantee, right, or remedy you have under the Australian Consumer Law or any other law that can't be excluded by agreement. Where the law allows us to limit a remedy, our liability for goods is limited to replacing or repairing them (or paying the cost of doing so), and for services to resupplying them (or paying the cost of resupply).

10. Liability

To the extent permitted by law, and subject to section 9, our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose. The service is provided "as is" apart from the guarantees the law gives you.

11. Governing law

These terms are governed by the laws of Australia, and disputes are subject to the jurisdiction of the Australian courts.

12. Changes

We may update these terms. We'll post the new version here and update the date above. Continued use means you accept the changes.
